Guide: official company evidence

Irish certificate of good standing: Letter of Status vs company report

A request for an Irish certificate of good standing can arrive halfway through bank onboarding or an overseas contract. The wording sounds familiar, but sending the nearest company PDF may not satisfy it. Start by identifying the official document and the recipient's requirements, then keep that task separate from commercial research. This guide explains the distinction and a practical way to prevent an avoidable second order.

Quick answer

Match the requested document, not just the company name.

  • 01CRO describes a Letter of Status/Certificate of Good Standing and directs users to CORE's Reports tab.
  • 02An incorporation certificate, company printout and commercial report are different evidence items.
  • 03Confirm the recipient's requirements before ordering; a company report is not the official certificate.

Step-by-step

A reliable review checklist

  1. 1

    Capture the request

Ask for the document's purpose, acceptable issuer, age, format and exact company identity.

  2. 2

    Match the company

Compare the registered name and company number with the application, contract and correspondence.

  3. 3

    Choose the official route

Use current CRO guidance and locate the Letter of Status option under Reports in CORE.

  4. 4

    Check before paying

Read the selected item, displayed charges and delivery information rather than assuming another report is equivalent.

  5. 5

    Preserve and explain

Retain the original document and record which request it answers, without expanding its meaning.

What is the Irish Letter of Status?

The CRO FAQ uses the terms Letter of Status and Certificate of Good Standing. It describes the document as evidence that the company is incorporated and authorised to undertake business in Ireland. It also identifies the Reports tab in CORE as the ordering route. Use that official description rather than treating an internet provider's product name as the definition.

A recipient may nevertheless use different terminology. Ask them to confirm that the CRO document answers their request. A requirement for company status is not necessarily a request for accounts, ownership information or tax clearance. Resolving that ambiguity early is more useful than assembling a large bundle of unrelated records.

Four documents that should not be treated as interchangeable

Choose evidence by the question it answers. An official document and a private research report can both be useful without being substitutes. Keep the issuer and document title visible when forwarding a file, especially when someone else will upload it into an onboarding portal.

Document selection: confirm the recipient's acceptance rather than infer it
ItemUseful purposeBoundary to preserve
CRO Letter of StatusAnswer an official good-standing document requestDo not turn company-status evidence into a payment guarantee
Certificate of incorporationDocument the company's incorporationDo not assume it answers a request for current status
Company printoutReview the company details supplied in that itemConfirm whether the recipient requires a different official document
Commercial company reportOrganise available identity and historical researchIt is not a CRO-issued Letter of Status

Write a short acceptance specification before ordering

Turn the recipient's message into a few explicit requirements. Record the legal entity, purpose, document title and receiving team. Ask whether an electronic original is acceptable and whether the recipient imposes its own document-age rule. Do not invent a universal expiry period or assume one organisation's requirements apply elsewhere.

If someone asks for certification, authentication, translation or an apostille, clarify exactly what they mean and obtain appropriate official or professional guidance. Do not promise that a standard download includes those additional steps. A saved written clarification helps the purchaser and reviewer agree what completion actually means.

  • Which company must the document name, and does its number match the application?
  • Which issuer and document title will the recipient accept?
  • What format, issue-date requirement and additional formalities have they specified?
  • Who will confirm acceptance, and where will the original be retained?

Use CORE without confusing a report label with the item required

Navigate to CORE through CRO's official website. Locate the company using its registered identity, then follow the current guidance to the Letter of Status option under Reports. A tab named Reports does not make every report offered by every provider an official certificate. Read the actual item description and issuer.

Before placing an order, confirm the entity, document and displayed transaction information. Do not substitute the CompanyReports.ie report price for an official charge or assume a particular delivery speed. If the desired option is unclear, use current CRO help rather than buying a different document on the assumption that its title is close enough.

Fictional example: an overseas distributor asks for good standing

Imagine a fictional Irish supplier, Harbour Sample Components Limited. A prospective distributor asks its sales manager for a certificate of good standing. The manager already has a commercial report and an old incorporation certificate. Neither should be uploaded as the requested document merely because it contains the correct company name.

The manager asks the distributor to confirm that it accepts the CRO Letter of Status, its required issue-date range and the upload format. Once those requirements are clear, the designated purchaser follows CORE's official route. The final evidence file preserves the original document and the recipient's written requirements, while the commercial report stays in a separately labelled research folder.

Finish the task without overstating the evidence

Keep the original file unchanged. Use a separate cover note to explain the company identity, document title, issue date and request it addresses. If an internal system needs a shortened filename, retain a link to the original rather than editing its contents or removing source information.

Completing a document request is not the same as approving the commercial relationship. Tax clearance, financial capacity and sector permissions require their own evidence where relevant. If a wider review reveals a rescue-process notice, treat that as a separate question for current records and advice, not something an earlier good-standing document resolves.

Separate research from certification

Identify the company before choosing the evidence

Start with the free company profile. A paid company report may organise available identity and history, but it is NOT an official certificate, Revenue tax-clearance verification or legal advice.

Obtain the Letter of Status through the official CRO route when that is the document required.

Questions answered

Frequently asked questions

Where can I order an Irish Letter of Status?

CRO's FAQ directs users to the Reports tab in CORE. Confirm the company and selected document using the current official guidance.

Is a certificate of incorporation the same document?

No. It documents incorporation. Ask the recipient whether it requires the separate Letter of Status rather than assuming an incorporation certificate is sufficient.

Does a company report replace a certificate of good standing?

No. A commercial company report supports research; it is not the official CRO Letter of Status. Obtain the item the recipient actually requires.

How recent must the document be?

Ask the recipient for its acceptance requirement. Do not apply a universal expiry period or assume that a previous onboarding team's rule applies.

Does good-standing evidence prove tax clearance or ability to pay?

Do not use it to answer those different questions. Revenue verification and an appropriate financial review require their own evidence and interpretation.
